Monthly books, reconciled and read, so you know what you will owe before April.

A quarterly tax estimate is inside the monthly fee, with no add-on charge
Your software stays yours. QuickBooks, Xero, Wave or a spreadsheet, we work in what you already use
Behind by months or years? We quote the catch up as a fixed price project
We code each transaction, across each bank account and card you run.
We match the bank feeds to the ledger, so the balances agree with the bank.
We publish a P&L and a balance sheet each month.
Somebody senior reads the result and works out the quarterly estimate from it.
Three steps, and we quote the monthly fee before the first:
You give us a user seat in your software, or your statements where nothing is set up yet.
We connect the feeds, set the chart of accounts and reconcile the open months.
Monthly statements from there, with the quarterly estimate at the first quarter end.
We keep the books and read them, so you get the tax answer while you can still act on it.
Each quarter you get an income tax estimate calculated from your own books, plus a conversation about deductions while there is still time to take them. Both are inside the monthly fee.
When the firm that files the return also runs the bookkeeping services, there is no handoff between two people.
What comes with the books each quarter
Monthly work, then the quarterly read.
Per property tracking, so each unit has its own profit and loss.
Trust accounting kept separate from operating, and reconciled on its own.
Insurance receipts against patient receipts, and the timing gap between billing and payment.
Project and client level tracking, pass through costs kept out of revenue.
Daily sales imports, tips, food and labor cost as a live percentage.
Platform fees, returns and inventory reconciled to deposits that differ from gross sales.
We work inside whatever you already run.
The default. We take a user seat of our own.
Routine, including reports you may not be using yet.
Supported, and common with sole proprietors and agencies.
Fine as a starting point. We build the chart of accounts and connect the feeds.
Where the file is set up badly, we run quickbooks cleanup services and a proper configuration first. Virtual bookkeeping services here start in the software you already have, with no migration.
Months behind and years behind are both fixed price work:
We reconstruct it from feeds and statements, and you rejoin the monthly service after.
A fixed price project priced on gross income and account count. We discount a bundle of more than one year, because the second year is quicker once the first is done.
The books exist and cannot be trusted. With bookkeeping cleanup services we rebuild the chart of accounts first, then reconcile to it.
In each case you get tax ready books, so we can file the return and start the estimates from real figures. Reconciling the accounts is the bulk of that work: matching years of feeds to a ledger that did not exist.
A fixed monthly fee, set before you start. Not hourly, because hourly is how a bookkeeping bill becomes unpredictable.
| What moves the monthly number | Quoted separately |
|---|---|
| Revenue band | Catch up and clean up, as a fixed price project |
| How many bank accounts and cards need reconciling | Software setup where there is nothing to plug into |
| Cash basis or accrual | The business tax return itself |
| Inventory, class or location tracking | Contractor 1099s at year end |
| Payroll, if it is bundled in | Payments out, which is accounts payable |
You get the number in writing before anything starts, and nothing is billed that was not quoted first.
